An agent is a purpose-built AI bot with its own memory, rules, and messaging channel (Telegram or WhatsApp). It's not a per-employee seat.

Your AI runs on configuration we lock down at the container level. It can't rewrite its own rules, create its own tools, or change its own integrations, even if someone asks it to. Every change is reviewed, so your system stays safe and predictable.
When you want something new, your agent can open a ticket on your behalf. We triage it as included support, billable work, or a future feature, with no surprises along the way.
Every package includes a monthly AI token usage budget ($75 on Essentials Package, $150 on Complete Package). Most clients stay within the included budget. Heavy usage months are billed at cost, with no surprise bills. You see your usage on a live dashboard. We don't mark up AI compute. We earn on the service around it.
Your monthly support hours cover prompt tuning, skill adjustments, configuration changes, and troubleshooting. Beyond that, additional work is billed at $250/hr, a premium rate that reflects deep familiarity with your system and fast turnaround. Most clients stay well within their included hours.
Email and calendar integration in the Complete package covers shared team mailboxes (like sales@ or info@) and the owner's personal inbox and calendar. Supported providers are Google (Gmail and Google Calendar) and Microsoft (Outlook and Microsoft 365 Calendar); legacy IMAP-only accounts or on-premises Exchange are handled as Custom engagements. Monitoring additional individual team members' email or calendars is available as an add-on or through Custom.
The "one additional business-system integration" means one of: QuickBooks Online, HubSpot, or Pipedrive. Salesforce, legacy ERPs, PLM systems, and proprietary or in-house tools are scoped and priced as Custom engagements. All integrations require you to provide valid admin credentials or OAuth authorization.
AI agents are powerful, but they make mistakes. We build in safeguards: review flows for customer-facing messages, explicit confirmation before sending external communications, and automatic escalation when the agent is uncertain. But you are always responsible for final output. Treat drafted quotes, emails, and agent-generated summaries as drafts and review them before sending externally. For anything carrying financial, legal, regulatory, or compliance weight, keep a human in the loop.
Your data lives on a dedicated server we provision for your business. It is not co-mingled with other clients' data. Your configuration is version-controlled in a private repository, so every change is auditable. Minotera follows reasonable security practices but is not SOC 2 certified at this time.
No, not to train the models that power your agent. We use enterprise-grade API tiers (not consumer chat services) where the default terms exclude customer content from training. We don't opt in to any training programs on your behalf. Providers may briefly retain data for abuse monitoring (typically around 30 days), but do not incorporate it into future model versions.
A typical rep firm uses the agent for daily lookups, drafts, and team briefings — usually around 20–30 interactions per workday on Essentials, more on Complete. The budget is about activity, not team size: adding more people to an agent doesn't meaningfully change usage, because the team shares one cache, memory, and data set. Most requests are quick questions and lookups (inexpensive); a smaller number are heavier drafting or synthesis tasks (more expensive). Working inside your configured working hours also keeps costs predictable — the agent stays "warm" during those hours, and cold starts outside them are naturally rarer.
Most day-to-day data additions don't cost anything token-wise — dropping in a new datasheet, uploading a customer list, or importing a pricing sheet is handled locally by our indexing system, not by the AI model. Costs show up only when the agent actually reads and reasons about new content during a request, which is just normal usage. If you're planning a big one-time addition — a full new principal, several years of historical quotes, a merged firm's customer book — we'll scope that as a small add-on project so there are no surprises on your monthly bill.
Usage tends to track activity: busier trade-show weeks, a heavy quote cycle, new team members getting up to speed, or a stretch where you're leaning on the agent for drafting work will push the number up. New data coming in doesn't move the needle much on its own. If a month is unusually high, your usage dashboard shows where the activity came from — briefings, questions, drafts, ingestion — so you can see the story.
Don't share passwords, payment card data, or highly sensitive personal information with the agent over chat. When the agent needs access to a system, we set up proper credentials and scoped permissions as part of onboarding.
Yes. You own your data. Export is available anytime in standard formats.
No. It's a summary of what's included at each package level as of today. Your engagement is governed by the signed service agreement, which covers data handling, liability, warranties, confidentiality, termination, and dispute resolution in full. Package definitions, pricing, and scope may change over time; the terms in effect at your signing apply to your engagement.
