Minotera LLC ("Minotera," "we," "us," "our") is an independent AI software and services studio based in San Diego, California. This policy explains what information we collect through our website (minotera.io) and our services, how we use it, and your choices.
Scope
This policy applies to:
Visitors to minotera.io
Prospects and clients of our AI software and services (AI for electronics and manufacturing, managed AI agents, AI consulting)
Users of the Minotera AI mobile application (when released)
For paid engagements, additional data-handling terms are set out in the separate signed service agreement between Minotera and the client. That agreement controls in the event of any conflict with this Privacy Policy on matters specific to the paid engagement.
This policy does not cover Teramino, our puzzle game. The Teramino app has its own privacy policy at minotera.io/privacy-policy.html.
1. Information We Collect
Website visitors
Email addresses and messages when you contact us or request a proposal.
Information you voluntarily share in sales calls, emails, or Discovery Workshop intake.
Standard web traffic data via our hosting provider (Firebase Hosting by Google), including IP address, user agent, and timestamps.
We do not use cross-site tracking cookies.
Client organizations (AI services)
When you engage Minotera for AI services, we process:
Business data you choose to upload or connect: product catalogs, datasheets, documents, emails, CRM notes, price lists, and similar operational content.
Contact and account information for your team members who interact with the agent.
Usage logs from the AI agent (queries, responses, internal telemetry).
Billing information needed to invoice and accept payment.
Minotera AI mobile app (future)
When released, the Minotera AI mobile app will connect clients of our AI service to their agent. We will update this policy before release with app-specific details.
2. How We Use Information
To provision and operate your AI agent.
To answer queries, generate drafts, and perform the tasks you configure.
To maintain your agent's configuration, memory, and document library.
To invoice and accept payment.
To respond to your inquiries and support requests.
To review agent conversations and activity — by named Minotera personnel on a need-to-know basis — for troubleshooting, safety and abuse review, and quality improvement. Conversation content is not used to train third-party AI models (see §3).
To improve our products using aggregate, non-identifying signals.
3. AI Model Processing
Your agent's AI responses are generated by enterprise-grade large language model (LLM) APIs. When you or your agent initiates a query, relevant content — which may include your uploaded documents, emails, or internal notes — is sent to the LLM provider for processing.
We use the providers' enterprise API tiers, whose default terms exclude customer content from being used to train future models.
We do not opt in to any training programs on your behalf.
Providers may briefly retain API content for abuse monitoring (typically up to 30 days). "Zero data retention" options are available from some providers at higher contract tiers; we will pursue this when warranted by client needs.
We may change LLM providers over time. The commitments above apply across all providers we use.
4. Where Your Data Lives
Client business data lives on a dedicated server we provision for your business. It is not co-mingled with other clients' data. Your configuration, skills, and agent governance files are stored in a private version-controlled repository (GitHub), so every change is auditable.
Website visitor data is handled by our hosting provider (Firebase Hosting, a Google service) in standard server logs.
5. Third-Party Services
We use the following third-party services, each with their own privacy practices:
Firebase Hosting (Google) — serves minotera.io.
Enterprise LLM APIs — AI processing for your agent.
Payment processor (e.g., Stripe) — for invoicing and payment.
GitHub — private version-controlled storage for agent configuration.
Cloud infrastructure provider — dedicated servers per client.
Business email (Google Workspace) — correspondence with prospects and clients.
6. Data Retention
Client data is retained for the duration of your engagement. On termination, you can export your data in standard formats. We retain backups for a limited period (typically 30 days) after termination for recovery purposes, after which they are securely deleted.
Website analytics and server logs are retained per our hosting provider's default policies.
Email correspondence is retained per standard business records practice.
7. Data Security
We follow reasonable security practices, including:
Container isolation per client agent.
Version-controlled configuration with read-only agent mounts.
Encrypted credential storage and transmission.
Access limited to Minotera personnel on a need-to-know basis.
Regular infrastructure updates and patches.
Minotera is not SOC 2 certified at this time.
8. Your Rights and Choices
Access: You can request a copy of the information we hold about you.
Export: Client data is available for export at any time in standard formats.
Correction: You can correct inaccurate information by contacting us.
Deletion: You can request deletion of your data, subject to legal retention requirements.
Communications: You can opt out of marketing emails at any time.
For data processed on behalf of your end customers under our services, you are the data controller; Minotera acts as a processor under your direction.
9. Children's Privacy
Our services are directed at businesses, not children. We do not knowingly collect personal information from anyone under 13.
10. International Users
Minotera is based in the United States. If you access our services from outside the United States, your information may be transferred to, stored, and processed in the United States. By using our services, you consent to this transfer.
11. Changes to This Policy
We may update this policy from time to time. Changes will be posted on this page with an updated effective date. Material changes that affect active clients will be communicated by email.
